Calculate the quantity

Start with confirmed players, volunteers, sponsors, speakers, media and presentation recipients. Add a sensible contingency for late entries, replacements and future sponsor use. If towels will be placed into player bags, align the order with the final bag-packing count.

Avoid ordering exactly to the current registration number when the event is still selling places. A small buffer is usually easier to manage than a shortage during packing.

Control sponsor artwork

Multiple email chains create version risk. Send one approved artwork package and one consolidated round of proof comments wherever possible.

  • Appoint one person to approve the complete layout.
  • Collect vector logos and current brand colours.
  • Set logo hierarchy before the proof is created.
  • Check the smallest text at final physical size.
  • Freeze sponsor changes by an agreed date.
  • Obtain permission to reproduce submitted marks.

Work backwards from the event

The working deadline is the date the towels must arrive at the venue, fulfilment partner or bag-packing location—not the tournament tee time. Add receiving, counting and pack assembly after delivery.

Build in time for sample changes and freight variability. Confirm the final delivery contact, opening hours, carton labels and any split-delivery requirement before dispatch.
